From the first work order to the final invoice, everything lives in one system — no separate spreadsheet, cash-register app or reminder calendar. Baktam is enough on its own.

Work orders (job cards)

The work order screen is the heart of Baktam. As soon as a vehicle arrives you type the plate, and Baktam shows its history, previous line items, open balance and last service date. You never re-enter customer and vehicle details for a new job.

Parts and labor are added line by line, with tax and discounts calculated for you. Several technicians can be assigned to the same work order, with their working time recorded. The status flow is clear — Quote, In service, Completed, Delivered — and the customer can approve the quote from a link you send, with a signature if you want one.

When the customer collects the vehicle, you take payment on the work order: cash, card, bank transfer or cheque. Any unpaid amount goes to the customer's account balance, and the job is added to the vehicle's service history.

Example

At the front desk you type a returning customer's plate and see last month's rear brake job: "We did the rear pads last month — shall we check the fronts?" The customer notices that you remember.

Stock & barcodes

Parts gathering dust on the shelf, or disappearing without a record, are a workshop's hidden cost. Baktam's stock module knows every part: brand, code, shelf location, purchase price, sale price and low-stock level.

Plug in a USB or Bluetooth barcode scanner, or scan with the phone camera in the mobile app — finding a part takes seconds. You can also search by product name, SKU, OEM number or barcode.

You are notified when an item drops to its low-stock level, and the reorder suggestions screen lists a suggested quantity based on the last 30 days' usage, together with the last supplier. Purchase invoices, barcode stock counts and transfers between branches live in the same module.

Friday evening, you don't need to ask the technician how many oil filters are left. Baktam flagged it three days ago and the order is already placed.

Cash & payments

Cash, card, bank transfer, cheque — every payment method is shown separately. You can see live which work orders are paid and which are still open. If a customer promises to pay later, the amount goes onto the receivables list with its due date.

No more hours of cashing up at the end of the day. Baktam shows the day's money in and out and the expected balance, so you can check it against the actual cash. A wrongly entered item shows up immediately.

Advance payments, expenses and staff salary advances are recorded in the same cash book, and the end-of-day (Z) report summarises the day on one page.

Example

7 pm, closing time. You open the cash report: today's cash, card payments and one open receivable. Thirty seconds, and the day is closed.

Service reminders

Periodic maintenance is the main source of repeat business — but without a reminder, customers go elsewhere. Baktam lets you set reminders by mileage and by date for each vehicle, such as an oil service at 10,000 km or a brake check in six months.

Renewal dates are tracked per vehicle too, with types that match your country: MOT and road tax in the UK, NCT and motor tax in Ireland, registration and state inspection in the US, safety inspection in Canada, rego and roadworthy certificate in Australia, WOF and rego in New Zealand, Mulkiya in the UAE, Istimara and Fahas in Saudi Arabia.

Vehicles that are due are listed in one place. On Pro and Enterprise, reminders can go out automatically by WhatsApp or SMS; you edit the templates, and the customer's name and plate are filled in for you.

A year ago this week you serviced a busy batch of cars. Baktam puts this week's due list in front of you; on Monday morning the reminders go out and the bookings start coming in.

Customer & vehicle records

Search by plate and every work order, invoice, payment, fitted part and note over the years is on one screen. When a customer asks which filter brand you used last time, the answer takes seconds.

A customer can have several vehicles — a family car, a partner's car, a company car — all listed under one customer record. Individual and company customers are supported, with tax numbers where needed.

Internal notes are gold: "check tyre wear on every visit" or "prefers a call, not a message". New staff greet regulars as if they had known them for years.

On her first day, a new cashier types the plate and sees the customer's name, car and notes. She greets him by name.

Built-in reports

The reports a workshop owner needs come built in: work orders, sales, cash book, debtors, customers, products, technicians, the daily report and — for the owner only — work order costs.

Reports are filtered by date range and more, and exported to Excel in one click — ready for your accountant.

The dashboard adds a live view: today's revenue, open work orders, low-stock items and overdue receivables.

WhatsApp & SMS

Calling a customer to say the car is ready — and calling again when they don't pick up — is the old way. With Baktam you open a WhatsApp message in one click; the customer reads it and comes to collect.

Connect your own Twilio (SMS) or WhatsApp Cloud API account and messages go out automatically: vehicle received, vehicle ready, service and renewal reminders, and payment reminders. Templates are editable, and scheduled messages are sent in your local time zone.

Automatic messages are included in the Pro and Enterprise plans, and you pay message fees directly to your provider. Phone numbers are stored with their country code. In the US, business SMS through Twilio requires A2P 10DLC registration.

Example

The job is done. The technician marks it Completed and the customer automatically gets: "Hi Sarah, your car (AB12 CDE) is ready. We're open until 6 pm." The phone never rings.

VAT & tax invoices

Baktam prints invoices and receipts in your country's format, with your business details and tax number: in the UAE a bilingual English/Arabic Tax Invoice showing your TRN and the VAT breakdown; in the UK a VAT invoice with your VAT registration number; in Australia and New Zealand a Tax invoice with your ABN or GST number and the GST breakdown; in Canada an invoice with your GST/HST number; in Ireland an invoice with your VAT registration number; in the US an invoice with sales tax, including decimal state and local rates.

In Saudi Arabia, Baktam connects to ZATCA's Fatoora platform for Phase 2 (integration). You onboard your own e-invoicing unit (EGS) with a one-time password from the Fatoora portal; Baktam obtains the unit's certificate (CSID), runs ZATCA's compliance checks and signs every invoice as XML. Simplified tax invoices for consumers are reported to ZATCA, standard tax invoices for VAT-registered business customers are cleared before you share them, and if ZATCA cannot be reached the invoice is resent automatically. A reported or cleared sale prints as a Simplified Tax Invoice or Tax Invoice with ZATCA's QR code; until then it prints as Invoice with a note that it is not a ZATCA e-invoice. ZATCA e-invoicing is part of the Pro and Enterprise plans. In Qatar, invoices are issued without VAT.

Customer tax numbers, such as a TRN or VAT number, are checked against your country's format and printed on the invoice. Built-in e-invoicing is available in Saudi Arabia (ZATCA) and Türkiye (e-Fatura).

Example

A fleet customer asks for an invoice in the company's name. You add their TRN to the customer record, record the sale on account and print a Tax Invoice with the VAT breakdown.
