Customer quote approval: end the “I never asked for that” argument

A job approved over the phone, then “you never said it would cost that much” when the bill comes — sound familiar? In Baktam you send the quote to the customer as a link. They see the lines, the tax and the total, type their name and sign to approve, or reject. The decision is kept on record.

What is it for?

In the workshop

Approval is given on the phone, and later the customer says they never agreed.

With Baktam

The customer approves on their own phone with their name and signature; the decision is added to the work order as a note.

In the workshop

You keep calling the customer to explain the quote.

With Baktam

The link clearly shows your business name, the plate, the vehicle, the lines, the tax breakdown and the total.

In the workshop

Once approval comes in, nobody starts the job.

With Baktam

An approved quote moves to In Service by itself and the owner and managers are notified.

How does it work?

  1. 1

    Prepare the quote

Open the work order in Quote status and add parts and labor.

  2. 2

    Send the approval link

If an SMS/WhatsApp account is connected it goes out automatically; otherwise it opens in WhatsApp with a ready-made message.

  3. 3

    The customer decides

They see the quote on their phone, type their name, sign and approve or reject, and can add a note.

  4. 4

    Work starts

Once approved, the job goes into service and you are notified. If it is rejected you hear about it too, and can call the customer.

Who uses it?

Front desk / cashier

Sends the quote and follows up on the approval.

Vehicle owner (customer)

Sees the quote on their phone and signs to approve, or rejects it.

Workshop owner

Gets approval and rejection notifications and sees which jobs were approved.

This feature is part of Baktam, the garage management software that keeps the whole workshop in one place.

Frequently asked questions

How long is the link valid?

You choose between 1 and 30 days (7 by default). If the quote total changes later, the old link stops working and you send a new one.

Can the customer approve only some of the lines?

No. The customer approves or rejects the whole quote and can leave a note. If they want changes, you edit the quote and send a new link.

Does the customer need to download an app?

No. The link opens in the phone's browser; no login or app is needed.
