Repair orders without the paperwork

The service writer looks up the vehicle by plate, or adds a new customer and vehicle in a few fields, including make, model and VIN. The repair order records mileage in miles, fuel level and the customer's concern, and photos can be attached from a phone. A check-in form can be printed and signed at the counter, so there is a record of the vehicle's condition before any work starts.

Estimates customers approve from their phone

When the estimate is ready, send the customer an approval link. They see the line items and total, then approve with an on-screen signature or decline, and the result is saved on the repair order. Links expire after a set number of days, so an old estimate cannot be approved weeks later at yesterday's parts prices.

Technicians see their jobs, not your margins

Each technician gets a login that shows only the repair orders assigned to them, without prices or costs. They can clock on and off a job, add notes and photos, and get a push notification on the mobile app when a new job is assigned. The technician report shows open work and logged hours per technician, and the repair cost report is visible to the shop owner only.

Sales tax handled the way US shops need it

Sales tax rates in the US vary by state, county and city, so Baktam does not force a fixed list. You enter your combined rate on each product or line, with up to three decimals, such as 8.875%. Labor and parts can carry different rates, and a line can be set to 0% where it is not taxable. Customer documents are titled Invoice, show a Sales tax line instead of VAT, and can include the customer's EIN. Amounts are in USD, and schedules and reports follow your shop's time zone, from Eastern to Hawaii.

Parts inventory and counter sales

Parts used on a repair order come off inventory automatically. Receive supplier deliveries with purchase invoices, run stock counts with a barcode scanner on the phone, and check the reorder suggestion list before you call your parts supplier. Walk-in customers buying wiper blades or oil can be rung up in POS mode, paying by cash, card, bank transfer or check, with charge accounts tracked on the receivables list.
