Team and switching

Data import: move from your old software in minutes

The hardest part of switching software is retyping years of product cards and customer lists. In Baktam you don't retype anything: export a spreadsheet from your accounting package or old workshop system, upload the Excel or CSV file, check how the columns were matched and import. Opening stock and customer balances can come across too.

What is it for?

In the workshop

Retyping thousands of product cards from your old system is putting you off switching.

With Baktam

Export the stock list to Excel and upload it as it is: SKU, barcode, OEM number, prices, tax rate, shelf location and opening stock in one go.

In the workshop

Customers and plates are spread across a notebook, a spreadsheet and the old program.

With Baktam

Import customers together with their vehicles. A customer matched by phone number is not created twice, and uploading the same file again does not duplicate records.

In the workshop

Exported files come with semicolons, odd encodings and local number formats.

With Baktam

Excel (.xlsx) works directly; for CSV the delimiter and encoding (UTF-8 or UTF-16) are detected. Numbers such as 1,234.56 and 1.234,56 are both read correctly.

How does it work?

  1. 1

    Prepare your file

Export the product list or the customer list from your current program to Excel, or download Baktam's sample template and fill it in.

  2. 2

    Upload and match columns

Excel (.xlsx) or CSV. The header row and columns are recognized automatically and you can change any match; your mapping is remembered for the next import.

  3. 3

    Review

Before anything is saved you see how many rows are new, how many will be updated and which have errors. For existing products or customers you choose update or skip.

  4. 4

    Import

Quantities are booked into the branch you choose as opening stock and show up in stock movements. Balances can be written to new customers as opening balances.

  5. 5

    Fix and upload again

Download the rows with errors as an Excel file, correct them and upload again; matching records are updated or skipped, never duplicated.

Who uses it?

Workshop owner

Makes the switch without depending on the old software vendor.

Manager / workshop lead

Imports product cards and opening stock.

Front desk / cashier

This feature is part of Baktam, the garage management software that keeps the whole workshop in one place.

Frequently asked questions

Which programs can I import from?

Any program that exports Excel or CSV: your accounting software, a spreadsheet you kept yourself or your old workshop system. Export the product list or customer list report and upload it. An old .xls file can be saved as .xlsx in Excel first.

If I upload the same file twice, are records duplicated?

No. Products are matched by SKU, barcode or OEM number; customers by phone number, then tax number; vehicles by plate. A matching record is updated or skipped, as you choose.

Can I bring over customers' old balances?

Yes. You can write a balance column to newly created customers as an opening balance owed; existing customers' balances are not changed.

Which fields can be imported?

Products: SKU, name, barcode, OEM number, brand, category, unit, cost and selling price, tax rate, quantity, minimum stock, shelf. Customers: name or company, phone, email, address, tax number, opening balance, notes. Vehicles: plate, make, model, year, VIN, engine number, mileage, color, fuel type.

Can I get help with the import?

Yes. Contact our support team (in English or Turkish) and we will go through the file with you.
