Insurance claims: from the assessor to the insurer's payment, on the work order

On an insurance job the workshop waits for money from two sides: the insurer and the customer. In Baktam you add the claim to the work order: comprehensive or liability cover, insurer, claim and policy numbers, assessor. The excess is deducted from the approved amount; the insurer's share is never added to the customer's balance, and the insurer's payment is recorded separately. In body and paint businesses, check-in damage, the customer's signature and the reports are tied to the same job.

How does it work?

    Open the claim

    On the work order, “Add insurance claim”: comprehensive, liability or other; insurer, claim number and policy number.

    Record the assessor

    Once an assessor is assigned, enter their name and phone; the claim moves to “Assessor assigned”.

    Record the approval

    Enter the approved amount and the excess. Claim status: open, assessor assigned, approved, partly approved, rejected, paid, closed.

    Collect from the insurer

    Record the insurer's payment with “Collect from insurer”; the customer's balance does not change and the amount still due on the claim is shown.

    Hand over the report

    The damage and repair report brings check-in damage, planned work and insurance details into one document. The paint and replaced parts report shows the car's body history on a diagram.

Frequently asked questions

Does the insurer's share affect what the customer owes?

No. The excess is deducted from the approved amount and the rest is the insurer's share. That share is not added to the customer's account; the customer only pays their own part. The insurer's payment is recorded separately.

Are insurance claims only for body shops?

No. A claim can be added to any work order. The damage diagram, check-in signature, body shop board and paint report open with the body and paint business type.

What does the paint and replaced parts report show?

Each panel on the car's diagram as original, removed and refitted, spot painted, painted or replaced. It only covers work done and recorded in your workshop, and says so on the document. If you choose, it also appears on the vehicle's QR page, without prices or personal details.

Is Baktam connected to insurers' systems?

No. Baktam does not connect to insurers' or assessors' software; claim details and amounts are entered in the workshop.
