Sublet work tracking: run outside jobs on record, not on the phone

A cylinder head goes to the machine shop, a gearbox to the specialist, an ECU to the auto electrician. Which part is where, what was the price, when will it be ready — usually it stays on the phone. In Baktam you send the outside job from the work order; the other business quotes, you approve, and when you receive it the cost is added to the work order as labor and to your shared account with them.

What is it for?

In the workshop

Nobody wrote down the price or the ready date for the head that went to the machine shop.

With Baktam

Every outside job has its price, tax, ready date and status (waiting for price, approved, in progress, done, received) on record.

In the workshop

The outside job never gets charged on to the customer.

With Baktam

When you receive it, the cost is added to the linked work order as a labor line; you set the price the customer pays.

In the workshop

At month end you add up what you owe the machine shop from a notebook.

With Baktam

Received jobs are posted to a shared account both businesses see; payments come off once the other side confirms them.

How does it work?

  1. 1

    Describe the job

From the work order, choose the service (machining, cylinder head, gearbox, auto electrics, bodywork, paint, A/C, diagnostics, tyres, glass, upholstery) and describe the work. A vehicle summary is added for you.

  2. 2

    Choose the provider and send

Pick a business you are connected to, or a Baktam business in your city that offers this service. The plate is not shared by default.

  3. 3

    Approve the price

The provider enters the labor amount, tax rate and ready date. If staff have an approval limit, anything above it goes to a manager.

  4. 4

    Receive the job

When you tap “Received”, the cost goes to the shared account and the work order; the full history stays on record.

Who uses it?

Workshop owner

Approves outside jobs and tracks what is owed to providers on the account.

Technician

Opens a draft from their own job; it is sent once a manager approves. Sees no amounts.

Outside specialist (machining, heads…)

Machine shops and specialists receive jobs on “Incoming jobs”, quote, and complete the work.

This feature is part of Baktam, the garage management software that keeps the whole workshop in one place.

Frequently asked questions

Does the other business need to use Baktam too?

Yes. Outsourced work runs between two Baktam businesses. The provider lists the services it offers and its city under “My services”, and can choose to be discoverable.

Does my customer's information go to the provider?

No. A vehicle summary (make, model, engine, fuel) is sent; the VIN and the plate are only shared if you choose. The customer's name and phone number are never sent.

Does Baktam handle the payment?

No. You pay each other directly; the payment is recorded in Baktam and comes off the balance once the other side confirms it.

I run a machine shop. How do I use it?

Set up your services and your city. On “Incoming jobs” you see requests, quote a price and move the job on with “Started” and “Done”. What you are owed shows on the shared account.
