Motorcycle workshop software: check every bike in with a checklist

When a bike comes in, is the chain slack, are the rear pads gone, who has the helmet? If that is only said out loud, it turns into an argument at pick-up. In Baktam, choose “Motorcycle workshop” as your business type and check-in gets a “Bike check” step. You mark 14 points, from the chain to the steering head bearing, as Good, Soon or Replace now, and note the front and rear tread depth, the helmet, bags and spare key left with the bike on the same screen. Scratches and cracks on arrival are marked on a motorcycle diagram and the customer signs. Enter the next service date and a service reminder is set up for you. All of it works in the web panel and the mobile app.

Example scenario

Example: on Saturday morning a Yamaha rolls into Mike's workshop. In the bike check on his phone he marks the chain “Soon” and the rear brake pads “Replace now”, enters 1.5 mm for the rear tyre and adds the helmet and side bags to the items left. He marks an old scratch on the tank on the diagram and has the customer sign. On the home screen the job sits in the “Replace now” column.

What is it for?

In the workshop

Chain, pads and tyres are discussed out loud at check-in, and at pick-up it becomes “you never told me that”.

With Baktam

The bike check: chain, sprockets, front and rear tyre, front and rear brake, engine oil, coolant, battery, lights and indicators, clutch, throttle and brake cables, suspension and steering head bearing are marked Good, Soon or Replace now. The list is printed on the check-in form and the customer signs it.

In the workshop

Helmets, bags and spare keys are left with the bike, and at pick-up nobody remembers what goes back.

With Baktam

Under “Left with the bike” you tick helmet, top case, side bags, tank bag, phone mount, cover, spare key and documents in one tap; they are written on the check-in form.

In the workshop

A scratch or cracked fairing that was already there gets blamed on the workshop later.

With Baktam

The motorcycle diagram is drawn from above: tank, fairings, mudguards, headlight, windscreen, handlebar, mirrors, engine covers, side covers, seat, exhaust, tail and wheels. Mark the damage on arrival and have the customer sign on screen.

How does it work?

  1. 1

    Choose Motorcycle workshop

Pick it as your business type at sign-up or in Settings. New vehicles open as motorcycles, “Winter storage” appears in the menu, and the home screen shows urgent jobs, bikes in storage and upcoming pick-ups. Your plan and price don't change.

  2. 2

    Add the bike

Every vehicle is either a Car or a Motorcycle. The brand list has motorcycle makes such as Yamaha, Honda, Kawasaki, Suzuki, BMW, KTM, Ducati, Harley-Davidson, Triumph, Royal Enfield, Vespa and Kymco, and the type is suggested from the make and model.

  3. 3

    Do the bike check

Mark the 14 points Good, Soon or Replace now; “Rest are good” marks the remaining points Good in one tap. A point left blank counts as not checked. Enter front and rear tread depth (mm), the items left with the bike and a mechanic's note.

  4. 4

    Mark damage on the diagram

Mark scratches and cracks found on arrival on the motorcycle diagram and let the customer sign on screen. The check-in form prints with the checklist and the items left with the bike.

  5. 5

    Enter the next service

Enter the service mileage and date. With a date, a service reminder is created for the customer and the mileage is saved on it. If your SMS or WhatsApp account is connected, the reminder message goes out on time.

Who uses it?

Motorcycle mechanic

Fills in the checklist on his phone next to the bike, marks damage on the diagram and enters the next service.

Front desk / cashier

Checks the bike in by number plate, records the items left and the customer's signature, hands the items back at pick-up.

Workshop owner

Sees jobs with a “Replace now” point, bikes in storage and upcoming pick-ups on the home screen.

This feature is part of Baktam, the garage management software that keeps the whole workshop in one place.

Frequently asked questions

We also work on cars. Can we add motorcycles?

Yes. In every business type, each vehicle is saved as a Car or a Motorcycle and the brand list changes with it. The bike check, the motorcycle damage diagram and winter storage open when your business type is Motorcycle workshop. A body shop working on a motorcycle uses the same diagram and can build an estimate from it.

Which points are on the checklist?

Chain, sprockets (front/rear), front tyre, rear tyre, front brake, rear brake, engine oil, coolant, battery, lights and indicators, clutch, throttle and brake cables, suspension and steering head bearing. Each point is Good, Soon or Replace now; a point left blank counts as not checked. Front and rear tread depth is recorded separately in mm.

Are there ready-made jobs for motorcycle shops?

Yes. The setup guide offers common motorcycle jobs: periodic service (every 6,000 km or 12 months), oil change, chain and sprocket kit (15,000 km), tyre change, brake pads, carburettor cleaning, valve adjustment and battery. The ones you pick become service packages priced at your hourly rate. Online booking and QR check-in also show motorcycle options such as chain and sprocket kit, chain noise or hard starting.

Does it work in the mobile app?

Yes. The bike check, the damage diagram with signature and winter storage are also in the Baktam app for Android and iPhone. The mechanic marks everything on his phone next to the bike and it shows up in the web panel too. The mobile app is included in your plan.

Does Motorcycle workshop cost more?

No. Motorcycle workshop is a business type; plans and prices are the same. You can change the business type later, and records on older work orders are kept.
